ABM Ind. is Hiring an Events Coordinator Near Union, NJ

Organizes, supervises and coordinates the work of a crew engaged in the modification and maintenance of buildings and show facilities; supervises the setting up and dismantling of sets and properties for events; supervises a standby crew and acts as a trouble-shooter; administers contracts for services within the scope of responsibility, including building maintenance and cleaning, dumpster and refuse collection; as needed, serves as Events Coordinator providing liaison to Kean university and ABM.
Ability to: Plan, organize and supervise the work of others engaged in the preparation of buildings and facilities for exhibits, shows and special events; meet and deal effectively with the public; analyze situations accurately and take effective action; work cooperatively with others in a variety of circumstances; effectively contribute to the department's affirmative action objectives.
DUTIES:
  • Oversees and supervises internal/external university events banquet functions as assigned.
  • Inspects set-up of function room(s) for accuracy and coordinates room(s) break-down with House Department in a productive manner to anticipate upcoming events and maximize labor efficiency.
  • Follows pertinent information as listed on the reservation/function sheet when assigned.
  • Assigns responsibilities to staff to facilitate successful event execution.
  • Participates in weekly, bi-weekly, monthly meetings
  • Follows and enforces established rules, regulations, standards, processes, and policies for self and staff.
  • Leadership and supervisory responsibilities in relation to hourly ABM employee’s staff including but not limited to shift-oversight and staff training.
  • Completes Banquet Event Recap for all events, capturing, in-detail, anything of note for billing or for the Director to be aware of.
  • Responsible to provide an excellent event administrative service for the department, recording event data, preparing letters and other correspondence, and assisting with event planning.
  • Responsible for all the agreements or correspondences that are sent by customers or clients who have booked functions with the events manager.
  • Oversees and processing of events bookings, and efficiently communicating with customers or clients, liaising, or working in relation with other departments about customer or client requirements or needs.
  • Responsibilities include the management of events including, but not limited to, planning site visits/calls, event order and resume document generation, floor plan design, billing estimates and day of partnership with the client
  • Perform other duties and responsibilities as required or requested.
  • Implementing new or amended production details, company policies and procedures.
  • Liaising with Kean university and ABM onsite management team
  • Dealing with onsite client queries and complaints
  • Creating Event Reports
  • Encouraging high performance and implementing improvements within your team
QUALIFICATIONS:
  • Requires basic computer literacy.
  • One-year events set up experience.
  • Read, write, and speak English fluently.
  • Valid driver’s license, where applicable
  • Ability to communicate effectively with the public and other Team Members
  • First point of contact for onsite client pertaining to all events campus wide
  • Dealing with a high level of incoming enquiries via phone, email
  • Chairing weekly event meetings with the Kean events team Lead, train, support, and communicate with front-line event staff.
  • Ensure that event staff under your supervision understand all SOPs pertaining to their duties and provide refresher training as necessary.
